Exhibition space at the Vaccines R&D 2025 Conference is limited
and will be
assigned on a first-come, first-served basis, so we encourage you to
reserve early.
The exhibition area is strategically located with direct access to conference rooms and
is situated
in a high-traffic zone, ensuring maximum visibility during
registration, coffee
breaks, lunch, and the gala dinner. This placement is designed to maximize engagement
and encourage
delegate interaction around the exhibit area.
Each exhibit booth includes two complimentary conference registration.

Exhibit Material Shipping Guidelines
Please carefully review the following information regarding the shipment and return
of exhibit materials for the Vaccines R&D 2025 Conference:
Shipping to the Venue
- The conference organizers
will provide the name and address of the designated hotel contact one week prior
to the conference.
- Exhibitors are requested not
to ship materials earlier than one week before the event.
- If materials arrive earlier
than this, the hotel may charge storage and handling fees, which will be the
sole responsibility of the exhibitor.
Return Shipping
Instructions
- After the event, exhibitors
are responsible for packing their materials, attaching prepaid shipping labels,
and handing over the labelled boxes to the hotel contact for courier pick-up
(UPS/FedEx).
- The conference organizers
will not be responsible for coordinating or tracking the return of exhibit
materials. All return logistics must be handled directly by the exhibitor.
Exhibitors are fully responsible for ensuring proper packaging,
labelling, and coordination of all return shipments. We are not responsible for
exhibitor materials or communication with hotel staff regarding shipments after the
event.
